08.45 How to elegantly navigate the AP tech landscape

09.45 Best practices for implementation projects to enable and accelerate finance transformation

The effective implementation and use of a software solution can mean the difference between problem-free, streamlined execution of financial operations, and inefficient processes that can hinder a business’s productivity and growth.

But is your organisation ready for such a large scale change? Technology cannot fix an already broken process! In this session, Phillip Price draws on his extensive experience within financial transformation to highlight the common business blind spots that if identified pre-implementation can:

  • Provide visibility of true business requirements
  • Assist in optimal software deployment
  • Future-proof your organisation

11:00 Cloud: the next big thing in financial technology?

Working in nearly 60 countries worldwide, Oxfam is one of the most internationally recognised charitable organisations. But with a “spikey” and largely unpredictable pattern of demand for computing, reactive resource planning is essential to make the most of business opportunities. Moving several functions to a cloud solution has enabled Oxfam to:

  • Offer cost-effective support of IT functions
  • Provide flexible processing capacity to meet rapidly changing business needs
  • Change the emphasis from hardware management to supplier relationships and analysis

In this session, Peter and Stewart describe their experiences in moving to the cloud and some of the lessons learnt in doing so.

11.30 How to reduce your manual invoice processing by over 95% with OCR technology

In 2009, the accounts payable department at Aggregate Industries was manually processing nearly 200,000 invoices a year. Today that figure is less than 10,000. a reduction of 95%.

In addition to cutting costs through headcount, streamlining processes to reduce invoice processing time, and increasing visibility of management information, crucially, implementing OCR has provided a springboard for bigger and better automation projects. In this session, Graham outlines:

  • How he built the business case for the OCR project as part of the wider business strategy
  • How to tackle internal culture change and encourage compliance through engagement
  • How it has sown the seeds for development of their EDI processes and data rationalisation

12:00 E-invoicing and mid-size suppliers: how to capture the tricky middle

Realising the return on investment and tangible benefits of an e-invoicing solution can take a while.

For Camden Council, a few dedicated years of managing the project has realised savings of nearly £500,000. First they engaged and empowered their staff to ensure process compliancy. Then they strategically targeted their supplier base, star ting from high volume, to focus resources.

But how can they keep driving the project to make the most of its potential? In this roundtable session, Andrew Coulson outlines the key success factors to the project so far, as opens up the discussion as to the best techniques for onboarding midsize suppliers to e-invoicing projects.

14:30 Do it yourself: How to on-board over 50% supplier invoice volume in 6 months with a free supplier portal

When your company is manually processing 500,000 paper invoices to the value of £1 billion, how do you go about taking off some of the load in the shor test period of time and with the least disruption to the business? This was the situation facing Mark Kendal in 2011. By mid-2012, 56% of all suppliers were using e-invoicing, on-boarded through a supplier por tal designed to be engaging and simple to use for suppliers.

In this session, Mark outlines the key success factors and outcomes of the project, including:

  • The investment made in dedicated on-boarding and compliance teams for optimum deployment
  • The importance of a mandate understood and supported by the business as a whole
  • The extent of the financial savings
  • The possibilities for further value-adding projects

15.30 Stop cash slipping through your fingers! How to identify and prevent invoice fraud

Fraud costs the UK £73 billion every year, according to the latest report by the National Fraud Authority. As advancing technology increases the visibility of sensitive management information, without strict and efficient controls in place many businesses are losing money through forged invoices, embezzlement and phoney VAT information. Often, however, huge sums are unrecoverable due to late recognition of the problem. So how can you spot and prevent fraud happening in your organisation? In this session, Susie West outlines the key tactics used by fraudstersto target accounts payable, and what methods of prevention you can use to stop payments being made before it’s too late.

13.45 The big supply chain financing debate: invest or regret?

In the current economic climate, companies want to make sure they are getting the greatest value from their cash reserves and are able to use their working capital to their advantage. Due to low interest rates and return on capital, companies are increasingly looking to supply chain financing to achieve this. But which is the best platform for supply chain financing, and will it really give you ROI? In this session, two organisations discuss why supply chain financing is such a hot topic, and the merits and pitfalls of their respective methods.

14.30 True grit and determination: how to roll out an international purchasing card

For low value, low volume spend, P-cards provide a fast, cheap and transparent alternative to invoices. So why are they met with such resistance? In the past 5 years, they’ve come a long way, and in this session Mark Miles demonstrates how a little determination has gone a long way to reducing BP’s low value spend by half. He explains:

  • How to build an internal business case with bite
  • The impact so far
  • The potential for international expansion

15.45 Improve your process compliancy to 98% with self-billing

As part of the RWE group, one of the top 5 European power companies, Essent is the RWE brand on the Dutch and Belgium energy market. Working with a decentralised procurement department, process compliancy was a big issue for Essent. And with 120,000 invoices to process, the lack of standardisation was costing them time and money.

That was until a year and half ago. By simultaneously centralising the operational procurement function and implementing a catalogue system combined with self-billing, Essent has managed to significantly decrease the number of manually processed invoices, and hugely improved compliancy across the board.

In this session, Martijn details the combination of catalogue buying and self-billing, the key success factors for the project and how the project will continue to improve processes in the future.

Purchase-to-Pay Process Specialist/Project Manager

16.15 Breaking the glass ceiling: how technology can allow your accounts payable function to become a seriously value adding business partner

With mergers and acquisitions inevitably comes large scale process integration. But with a detailed and actionable road map integrating accounts payable functions with the wider business strategy, HP are on track to improve their cash flow by more than $1 billion. By standardising processes globally and creating connections to key stakeholders in the business, the accounts payable department have been able to reap considerable rewards in moving towards a value-add, rather than simply transactional role. In this session, Caroline draws on her extensive experience to outline how such a move is possible, including:

  • How to maintain senior management buy-in
  • Aligning the internal customers’ demands with the supply chain
  • The importance of the user experience
  • His 5 key dimensions of process success

C. 14.45 – 17.45 Intelligent invoicing: Going beyond paperless to accurate

Has your organization implemented eInvoicing but continue to see high error rates? Are you reconciling and approving invoices in time to leverage discount terms? Electronic invoices are a good first step towards streamlining and automating some of the process. However, they are only half the solution towards reaching accurate invoicing and realizing the savings.

In this session, we will discuss the benefits of implementing intelligent invoicing, enforcing business rules at every step, both before and after invoicing, with only approved invoices arriving at your accounts payable. We will share insight into how a company like CONSOL Energy was able to experience $4.9M in cost savings just by increasing their automated PO process, with additional savings being delivered in other areas such as leveraging efficiencies to use discount terms, to the tune of $7.5M in savings. Aside from increased cost savings, CONSOL were also able to reallocate accounts payable resources (13.16 down to 11.11) while doubling invoice volume due to acquisitions. Best in class Hubwoo customers achieve below 5% error rate in comparison to an average of 60% error rate they experienced prior to implementing this holistic invoicing process.
